The postal item delivery cost is paid by the sender in Poland.
The cost of possible additional customs duties is paid by the recipient in Ukraine.

What can be sent

  • Postal item types: parcels and documents
  • Maximum weight and dimensions: up to 30 kg of actual or volume weight. The sum of the sides should not exceed 150 cm and the length of the largest side should not exceed 120 cm (including packaging).
  • Declared value: up to €10,000. The declared value must be equal to the real (market) value of the shipment for successful customs clearance. In order to receive a shipment with a declared value greater than 150 Euros, the receiver will pay the 20% VAT and the customs duty on the difference between the declared value and the 150 Euro duty free limit.
  • Maximum number of seats per express consignment note: up to 5 seats. One item: no more than 30 kg of actual or volume weight.

What you can't send

  • Foodstuffs requiring special temperature conditions, without original packaging and weighing more than 10 kg.
  • Cigarettes and alcohol.
  • Medicines, medicinal products.
  • Money, coins, banknotes.
  • Jewelry, precious metals and stones.

Goods included in the list of prohibited goods are not accepted as postal items. If prohibited goods are detected during customs inspection, the shipment will be returned to the sender at their expense.

  • Please note that sending several identical goods is considered a commercial consignment and is prohibited as a postal item.
    An example of a commercial shipment: 3 phones, 4 pairs of identical shoes, 5 pairs of watches.

Instructions

Sending from a branch:

  1. Give the operator an open parcel so that they can inspect its contents;
  2. Provide the sender's information: first and last name in Latin characters, phone number;
  3. Enter the recipient's information: first and last name in Latin characters, phone number;
  4. Specify the type of delivery: branch, parcel locker, address (zip code, city, street, house number, apartment number);
  5. Pay for the postal item.

Shipping from your address:

  1. Fill out the on-line form for shipping from your address. When filling the invoice (description of each position) kindly provide as detailed description as possible for the shipment (name, colour, dimensions, condition [new or used], for equipment provide the model and manufacturer, year of manufacture, for books – the name, author and publisher).
  2. Pay on-line for the delivery*
  3. When the Nova Post operator calls you to confirm the shipment, please provide a convenient date when the courier should pick up the shipment**
  4. Pack the shipment into one box in accordance with the Packaging Regulationsf your shipment consists of several boxes, please fill out a separate on-line request and pay for them.
  5. Wait for the courier at the agreed up time and provide the courier with the packed shipment***.

*    Using Ukrainian bank payment cards to pay for services is not available.

**   The courier can pick up the shipment not sooner than the next working day, which cannot be a weekend or other non-working day.

***   Please note that the courier will not inspect the shipment for items forbidden for shipment. An examination of the shipment’s content is conducted by Nova Post employees during the shipment’s processing prior to its transfer to customs. In the event that items forbidden for shipment are revealed, they will be removed and further actions regarding the shipment will be agreed through the Nova Post call centre operator. In the event of a complete or partial return of the shipment to the Sender, the Sender is responsible the cost of the return shipment along with other expenses connected with the handling of the forbidden items. Your shipment can be picked up by a Nova Post courier or a Partner operator who whom we cooperate.

Customs clearance

  • For postal items with an estimated value of up to €150

    International postal items sent to Ukraine from an individual to an individual with an estimated value of up to €150 are not subject to additional taxes.
  • For postal items with an estimated value of more than €150

    International postal items sent to Ukraine from an individual to an individual with an estimated value of more than €150 are subject to an import duty of 10% of the excess of €150 and VAT of 20% of the value of the postal item over €150. You will also be charged an additional fee for customs brokerage services.

For example:
Value of the goods = €200
Import duty = (€200 € - €150) x 10% = €5
VAT = (€200 - €150 + €5 (duty)) x 20% = €11
Customs payments will total: duty €5 + VAT €11 = €16.

  • What is required in order to ship a parcel from a branch in Poland?

    A shipment to be send from a branch needs to be provided in an unpacked manner, since in accordance with the regulations for international shipments, Nova Post employees must review the parcel’s content for items forbidden for shipment.

    For examination purposes, Nova Post employees have the right to open an already sealed parcel. The sole exception is factory packaging.

  • What is required in order to ship a parcel from a Polish address?

    In order to ship from an address, please fill out the on-line shipping form, review the parcel’s contents for items forbiddden from shipment and pack the items in accordance with Packaging Regulations. The courier has the right to refuse to take the parcel if it is not packed in accordance with the regulations.

    The courier will not review the shipment to determine if it contains any items which are not permitted for shipment.

  • What is the delivery time for a parcel to Ukraine?

    The delivery time of a parcel from Poland to Ukraine is from 3 days.

  • I have filled out on-line shipping request. When can I expect the courier?

    You will initially be called by a Nova Post call centre operator to review the shipment details and to find a convenient time for the courier to arrive. The courier will pick up your parcel not sooner than the next working day after you fill out the on-line shipping request.

  • What happens if items, which are forbidden for shipment, are found in the parcel?

    In the event that such items are found in the delivery process, the forbidden items will be removed, while further steps in respect to the shipment will be agreed with the Nova Post call centre operator. In the event of a complete or partial return of the shipment to the Sender, the Sender is responsible the cost of the return shipment along with other expenses connected with the handling of the forbidden items.   • How can the recipient receive their parcel in Ukraine?

    • At the nearest branch
    • At the Recipient's address (courier delivery)
    • At a parcel locker

    To receive the postal item, it is enough to have the express consignment note, the original passport of a citizen of Ukraine/passport of a citizen of Ukraine for travel abroad or a phone with the number indicated in the express consignment note.

  • How the parcel be handed over for shipment?

    The parcel must be handed over for shipment open, because in accordance with the requirements of international transportation, Nova Post employees must check the contents of the parcel for prohibited goods.

    Nova Post employees have the right to open a pre-packed parcel for inspection. The only exception is factory packaging.

  • In what case will my parcel not be accepted for shipment?

    Your parcel will not be accepted for shipment if it contains prohibited items.

  • What are the maximum dimensions and weight of a parcel that can be sent to Ukraine?

    The Polish post office accepts parcels with a maximum weight of 30 kg of actual or volume weight. The sum of the sides should not exceed 150 cm and the length of the largest side should not exceed 120 cm (including packaging).

  • Why is it important to indicate the declared value of your postal item correctly?

    The declared value amount affects the customs payments that may be charged after crossing the Ukrainian border. The declared value must equal the market value of the parcel. If the declared value of the parcel does not correspond to the actual value, this may result in the parcel being delayed at the border, re-evaluation and charging customs duties on the actual value of the postal item.

  • Who pays for sending a parcel?

    The sender pays the cost of shipping and additional services. If customs duties are charged, they are paid by the recipient.

  • What happens to my parcel at the customs office?

    At the customs office, each parcel is subject to a detailed inspection. If customs officers find prohibited goods in a parcel, the parcel will be disposed of or sent back at the sender's expense.
    If the declared value of a parcel is more than €150, it is subject to import duty of 10% of the excess of €150 and VAT of 20% of the value of the postal item over €150.
    You will also be charged an additional fee for customs brokerage services.

  • How do I pay customs duties?

    Customs payments (for parcels with a declared value of more than €150) are made by the parcel recipient. A representative of Nova Post will contact you using the specified phone number or e-mail. The recipient needs to sign a power of attorney for the customs broker and provide their identification number for customs clearance.

    For example: Value of the goods = €200 Import duty = (€200 € - €150) x 10% = €5 VAT = (€200 - €150 + €5 (duty)) x 20% = €11 Customs payments will total: duty €5 + VAT €11 = €16.

    The recipient must pay the accrued amount of customs duties upon receipt at the post office, parcel locker or at the address.

  • How can I track my parcel?

    The parcel can be tracked using Nova Post or Nova Poshta Global tracking by the international express consignment note number. After the parcel crosses the border, it will be assigned a new number. Its transportation in Ukraine can be tracked in the mobile app or by Nova Post tracking.

  • How will the recipient know that the parcel has arrived?

    The recipient will know that the parcel has arrived at the post office or parcel locker from the standard Nova Post notification via Viber, SMS or the mobile app. Upon receipt at the address, the recipient will be contacted by the courier.
